Information we use
If you contact us, we receive your first name, optional surname, email address and message, together with submission details such as the date and time. Your message may contain project requirements or other information you choose to share. Please avoid sending sensitive personal information or unnecessary details about other people.
You can download the workbook companion without joining an email list. Our hosting and security providers may still process technical information such as IP addresses, browser information, access logs and cookie preferences.
If you separately request workbook email updates, we use your email address, optional name, subscription preferences and a record of when and how you opted in.
Why we use information
We answer enquiries and discuss proposed commissions. Where you ask for steps towards a contract with you, or we fulfil that contract, we rely on contract as our lawful basis. For general enquiries, enquiries on behalf of another organisation and support requests, we rely on our legitimate interests in responding and running our business.
We rely on legitimate interests to maintain website security, manage necessary administration and keep proportionate records to resolve disputes. Our interests are providing a reliable service and protecting the business and its visitors. We minimise the information used and consider your rights.
We rely on legal obligation for records we must keep under tax or other applicable law. Optional workbook marketing emails rely on your consent. You can withdraw it at any time without affecting your download or earlier lawful processing.
Your choices
First name, email and message are required to submit the contact form so we can understand and answer your enquiry. Surname is optional. You may email us instead. Marketing signup is optional and separate. Submitting an enquiry or downloading the companion does not subscribe you to marketing.
Who receives information
We use Wix for website hosting, forms and related contact administration, and Google Workspace for business email and document storage in Google Drive. We use Usercentrics for Wix to manage cookie-consent settings and, when enabled, records of visitors’ cookie choices. These providers and their authorised service providers process information needed to operate those services. We may share relevant information with professional advisers or authorities where necessary for advice, legal obligations or the handling of a dispute. We do not sell personal information.
Wix and Google may process information outside the UK. Their data-processing arrangements provide for transfers to countries recognised as providing adequate protection under UK law, or approved contractual safeguards where required. Wix’s arrangements include transfers to Israel and safeguards for onward transfers. Google’s Cloud Data Processing Addendum provides for recognised transfer arrangements or standard contractual clauses, with supplementary terms for UK transfers where applicable. You can contact tom@devonwoodcraftcompany.com for information about the safeguards or a copy of the relevant contractual provisions.
How long we keep information
Enquiries that do not lead to work: normally 12 months after the last substantive contact. Routine companion support: normally 12 months after resolution. Relevant commission records: normally six years after completion or closure, with longer retention where required for tax obligations or an ongoing legal matter.
For a sole trader, relevant tax records are kept for at least five years after the 31 January filing deadline for the tax year concerned. We retain only the information needed for that purpose.
Workbook marketing subscriptions are reviewed after 24 months without meaningful engagement. We stop marketing when you unsubscribe. Limited consent evidence may be kept for three years after the last marketing email or withdrawal to demonstrate compliance, subject to review. A minimal suppression record is retained while we operate the relevant mailing list to prevent accidental re-subscription.
We review records regularly and delete or anonymise information no longer needed. Technical security records are retained for the period needed to detect and investigate misuse, maintain the service and resolve security incidents, taking account of the provider’s retention arrangements and any legal requirement. Cookie-choice records are retained to remember your preferences and demonstrate how consent was obtained. Their retention takes account of the lifetime of the preference, the need to resolve a complaint or compliance query, and the provider’s deletion arrangements. Cookie expiry periods are explained in our Cookie Notice. Where an incident, complaint or legal obligation requires longer retention, we retain only the relevant records.
Your rights and complaints
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your information. You can object to processing based on legitimate interests and can object to direct marketing at any time. Some information may need to be retained for legal reasons. Contact tom@devonwoodcraftcompany.com to exercise your rights.
We normally respond to rights requests within one month, subject to the applicable legal rules. We do not use your information for solely automated decisions producing legal or similarly significant effects.
Please contact us with privacy concerns. You can also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/ or on 0303 123 1113.
Cookies and changes
See our Cookie Notice for information about cookies and similar technologies. Where a cookie consent tool is enabled, you can use its settings to change your choices. We update this notice when our processing changes and display the effective date.
